Which documents actually need a notary first

  • Needs a notary first: powers of attorney, single status affidavits, minor travel consents, notarized letters and affidavits, passport copies, corporate bylaws, and diplomas and transcripts (notarized as a true copy).
  • Apostilled directly, no notary: certified birth, marriage and death certificates, divorce decrees, clerk-certified court records, and Division of Corporations records such as a certificate of status.
  • Florida notaries cannot certify copies of vital records (Fla. Stat. §117.05(12)). A notarized photocopy of a birth certificate is not a substitute for a certified copy from the issuing office.
  • Federally issued documents, such as an FBI background check, are apostilled by the US Department of State rather than Florida, and should not be notarized first.
  • An apostille is a physical certificate attached to your original, so the paper document always comes back to you. A scan alone is not accepted abroad.

Common questions
Do you offer a combined apostille and notary service?
Yes. Notarizing and apostilling the same document is one case with us, one total, and one person you call about it. You don't hand the document to a notary, get it back, and then start again with an apostille company.
Does my document have to be notarized before the apostille?
It depends on the document, and getting this wrong is the most common reason a filing is rejected. Powers of attorney, single status affidavits, minor travel consents, notarized letters, passport copies, diplomas and transcripts generally need a notary first. Certified vital records and clerk-certified court records do not. We check yours before anything is filed.
Can you notarize online and still apostille it afterwards?
Yes. A Florida remote online notarization is valid for the apostille, and it's usually the fastest way to start, since there's nothing to schedule and no travel. If your document needs a wet signature instead, we send a mobile notary.
How much does a notary and apostille service cost together?
Online notarization plus a standard Florida apostille starts at $238. A mobile notary who comes to you plus the apostille starts at $298. Both are one total that already includes the Florida Secretary of State fee and domestic shipping, so there's no separate state invoice afterwards.
What if the country isn't in the Hague Convention?
Then the document needs embassy or consulate legalization instead of an apostille, and the notarization step usually still applies. We handle that route too, including the certified translation most consulates ask for.
